Surface Load Options is a configurable box located within Admin>Products>Items. For any given surface, as created in Admin>Order Config>Setup Surfaces, the system will automatically generate an inventory list for drivers. This list is printable to make deliveries simpler, easier, and more streamlined. The first image below shows Setup Surfaces, and the second image shows Surface Load Options. You'll want to edit your Setup Surfaces to your specifications before you set up Surface Load Options or Setup Fees.
You can establish Setup Fees by Setup Surface. You can either establish a global Setup Fee that will trigger a one-time fee based on the Setup Surface chosen, no matter how many items are in the order, or you can establish a fee per item, so that, for example, if an order has a waterslide, combo unit, and bounce house, each of the items would trigger their own Setup Fees. See below for instructions on how to establish and edit your Setup Surfaces, Surface Load Options, and Setup Fees.
SETUP SURFACES AND GLOBAL SETUP FEES
To edit your Setup Surfaces, navigate to Admin>Order Config>Setup Surfaces. The default Setup Surfaces are "Grass," "Dirt," "Concrete/Asphalt," and "Indoor." You may edit or delete these at your discretion, and you may add as many other Setup Surfaces as you like. The entries here create a dropdown menu your customers will choose from during checkout on the Customer Information Page.
If you'd like to establish global Setup Fees, meaning a Setup Fee that will apply to the entire order regardless of how many items are in the order, simply enter the cost for whichever Setup Surfaces you'd like to trigger such a fee in the Cost field for that Setup Surface. See below for an example of setting a $15 Setup Fee for Concrete/Asphalt.
IMPORTANT NOTE: remember, a Setup Fee established here will not multiply based on the number of items in the order; it is a global, one-time fee. For Setup Fees per item, see below in the Setup Fees Per Item section of this tutorial.
SURFACE LOAD OPTIONS
To edit your Surface Load Options:
- Navigate to Admin>Products>Items, find the dropdown near the top right of the page that says Browse Mode, click into it, and choose Spreadsheet Mode
- If you don't see the Surface Load Options field, click on the button that says "customize," uncheck any fields you don't need to see (probably best to leave Category checked, for reasons explained below), and check Surface Load Options, then scroll down and click Update
- You may find it helpful to click on the Category heading, which will reorganize the page by Category (meaning it will group all Items together by Category)
- Click into the Surface Load Options field for each Item that requires additional items to be sent out with it, varying based on the Setup Surface of the order
You can watch a brief animation below showing you the workflow. The format of your entries should be as follows:
(Setup Surface 1): (additional equipment 1) x (the number needed), (additional
equipment 2) x (the number needed)
(Setup Surface 2): (additional equipment 1) x (the number needed), (additional
equipment 2) x (the number needed)
Etc...
So, for example:
Grass: stakes x 4, 1.5 hp blower x 1, 50' extension cord x 1
Dirt: stakes x 4, 1.5 hp blower x 1, 50' extension cord x 1
Concrete/Asphalt: sandbags x 8, ropes x 4, 1.5 hp blower x 1, 50' extension cord x 1
Indoor: sandbags x 8, ropes x 4, 1.5 hp blower x 1, 50' extension cord x 1
SETUP FEES PER ITEM
The process of establishing Setup Fees per Item is similar to the process for establishing and editing Surface Load Options, described above:
- Start by navigating to Admin>Products>Items, then find the dropdown near the top right of the page that says Browse Mode, click into it, and choose Spreadsheet Mode
- If you don't see the Setup Fee field, click on the button that says "customize," uncheck any fields you don't need to see (probably best to leave Category checked, for reasons explained below), and check Setup Fee, then scroll down and click Update
- You may find it helpful to click on the Category heading, which will reorganize the page by Category (meaning it will group all Items together by Category)
- Click into the Setup Fee field for each Item you'd like to establish a Setup Fee for. Choose the Setup Surface(s) from the dropdown that you'd like to establish a Setup Fee for, using the "Add New" button as needed, then enter the fee in a dollar amount in the other field. Don't forget to click "Save" before moving onto the next Item that needs a Setup Fee. See below for an example.
LOAD SHEETS—SENDING TO DRIVERS AND ASSISTANTS AND/OR PRINTING
To view and print your Load Sheets :
Surface Load Options become part of the Load Sheet and are seen using Routing at Delivery > Routing and in the Driver App. You may print out the load sheets with or without a visual map and turn-by-turn directions, and/or you may send this information to your Drivers and Assistants with a text message. Please feel free to use the following links to access training resources on our Routing features and our Driver App.
If you do not use ERS Routing, then you can see the Load Sheets using the "Assign Drivers" area by going through the following steps. IMPORTANT NOTE: the area described below does not talk with the regular Routing area, aka "Routeweaver," (the interactive calendar under the Delivery tab; the interface the above linked Routing training is about). So if you make routes using the regular Routing area, you will not see your changes reflected below. Most customers use either the regular Routing area, OR the "Assign Drivers" area described below, not both.
- Navigate to Delivery>Assign Drivers. See the following image for clarification:
- Select a date.
- A driver must be selected to print the Load Sheet.
- Then select the button at the bottom to "Open LoadSheet" next to the driver name.&
