Event Rental Systems offers a Gift Card/Gift Certificate feature, which is free to all customers. This feature allows you to sell a gift card to a customer that can be used as payment toward an order at a later time. Once purchased, the customer will receive an image of the gift card in their email with a value, gift card number, and PIN code.
A few notes about Gift Cards:
- Generally, most gift cards and gift certificates are not taxed because tax is charged when the gift card is redeemed. Check your local tax requirements to be sure.
- Some states, such as California, have laws that gift cards can never expire.
- Use “Secondary Category” to place the gift card in multiple areas of your website.
- There is currently no feature to offer a “custom amount”. However, you can manually override the price in the Control Panel.
- Use a "Sales" based Schedule Profile to remove scheduling (click here for a full tutorial on Sales Schedule Profiles).
- The order must be paid in full to receive the gift card. Once you've created your gift card items, please reach out to Tech Support to ask them to establish a "pay in full" requirement for your gift cards.
After purchase, your customer will receive a similar image to the following with your company logo in the middle:
Gift Card Creation
To create a gift card:
- Navigate to Admin > Products > Items.
- Click “Add New”
- Enter in the “Name”, “Cost”, and “Quantity” as needed.
- The “Item Type” should be “Regular.”
- It is recommended to add a “Picture” and ”Description” for aesthetics.
- Add a “Category”, and “Secondary Categories” as needed.
- Select a "Sales" based Schedule Profile from the dropdown box.
- IMPORTANT: in the “SKU” field, write “gift” without the quotes for the image functionality.
- RECOMMENDED: Set “Taxable” to “No” depending on your local accounting requirements. Remember, your customer who uses the gift card will be paying taxes when they use the gift card, so in most localities it's not necessary to charge tax on gift cards.
Once your gift card has been created, we recommend performing a test order to ensure it is functioning properly. The “SKU” field entry of “gift” is the most important part.
Gift Card Payments/Redemption
A new payment method called “Gift Card” has been added to all folders and, by default, is visible to your customers on your website. Customers can simply select the payment method from the dropdown box and enter in the “Card Number” and “PIN” to redeem the card.
